We are seeking a highly organized, proactive, and adaptable Executive Assistant to provide comprehensive support to the Creative Director. This role requires an individual who thrives in a fast-paced environment, is skilled at managing multiple priorities, and demonstrates discretion in handling sensitive matters.
KEY RESPONSIBILITIES
- Schedule Management:
- Organize and maintain the Creative Director’s calendars, including scheduling meetings, appointments, and travel arrangements.
- Effectively prioritize and manage conflicting schedules to ensure optimal time management.
- Communication Liaison:
- Serve as the primary point of contact between the executives and internal/external stakeholders.
- Handle incoming calls, emails, and correspondence, ensuring timely and professional responses.
- Act as a liaison between executives and staff, addressing staff concerns and complaints as needed.
- Meeting Coordination:
- Co-ordinate all internal and external meetings with the Creative Director.
- Prepare agendas, roles/responsibilities, and documentation for meetings and Company events.
- Attend meetings, take detailed minutes, and follow up on action items to ensure completion.
- Project Assistance:
- Assist with various projects and tasks, including conducting research, compiling reports, and preparing summaries.
- Provide creative and administrative support on project-related tasks, such as managing deadlines and preparing presentations.
- Office Management:
- Oversee office supplies, equipment maintenance, and general administrative tasks to maintain a functional office environment.
- Handle confidential and sensitive information with discretion and professionalism.
- HR Responsibilities:
- Act as a liaison between the executives and staff, addressing employee concerns and complaints.
- Maintain clear communication channels to ensure a cohesive work environment.
- Event Planning:
- Organize and coordinate company events, client meetings, and other executive functions.
- Ensure all events are executed seamlessly and align with company objectives.
- Administrative Tasks:
- Prepare and manage expense reports, invoices, and other financial documentation.
- Perform general administrative duties, such as filing, data entry, and document management.
REQUIREMENTS
- A Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent experience).
- 2+ years of experience as an Executive Assistant or in a similar role, preferably in a creative or corporate environment.
- Exceptional organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines.
- Strong written and verbal communication skills, with a professional and approachable demeanour.
- Proficiency in office software, including Microsoft Office Suite and Google Workspace.
- Proven experience handling sensitive information with discretion and confidentiality.
- Strong problem-solving and decision-making abilities, with a proactive and adaptable mindset.
- Passionate about organization, creativity, and supporting leadership to achieve company goals.
